Who we are
AIMS is operated by Ronnie Van Technologies Ltd (trading as Ronnie Technologies), a company registered in Nigeria, which is responsible for your data under this policy. This policy explains what we collect when you use AIMS on the web (aimscoach.com) or in the Android app, and how we use it. Contact: support.aimshq@gmail.com.
What we collect
- Account details: your email address, and your name and profile photo if you sign in with Google.
- Profile details you provide: name, age, height, weight, gender, activity level, goals and targets, training split and preferences.
- Allergies and food needs you choose to add (allergies, intolerances, diet, health conditions you choose to share, such as asthma or diabetes, foods you don't eat and notes, which may include a health condition), and the food plan AIMS makes for you. We use them only to tailor your advice and plans and to make sure we never recommend foods you can't eat.
- What you log: food, exercise and weight entries, and your chat messages with the AI coach.
- Photos you choose to send for food or nutrition-label recognition. These are stored so they appear in your chat history.
- Voice input (Premium): your speech is converted to text by your device's speech-recognition service, and the resulting text is handled like a typed message.
- Step counts, if you connect Health Connect on Android.
- Subscription status: whether you're on Premium and related payment references. We don't receive or store your full card details — our payment providers and Google Play handle those.
- Waitlist: if you join the Android waitlist on our website, your email address and the page or ad campaign that brought you there.
- Partner links and codes: if you arrive through an AIMS partner's link (aimscoach.com/c/…) or enter a partner code, we save which partner it was in your browser for 30 days and with your account, so the partner can be paid. Partners only ever see counts (clicks, sign-ups, paying users), never who you are.
- AIMS Partners applications: if you apply to be a partner, the details you send us (name, email, handles, audience size, niche, country, languages and bio, and for coaches your coaching experience). We check the public profiles behind your handles to verify you. If you're approved: your earnings, payout records and any deductions; if you're a coach, which AIMS account you verified with your code; if you claim the welcome kit, your clothing size, phone number and delivery address, used only to send it; and if the partnership ends, when and the reason you give. If you're featured, your name, photo, handles and bio are shown on our website.
- Ask AIMS on the blog: if you ask a question in the Ask AIMS box on our blog, your question, the earlier questions and answers in that same chat, the language and the post you're reading are sent to Anthropic's Claude to answer. We don't store the questions or answers. To keep the free daily limit fair, we keep a daily count for your browser (a random ID saved in your browser) and a scrambled, one-way version (a hash) of your IP address; if you're signed in with AIMS Premium (or the Premium trial), questions are unlimited and we count them against your account instead. These counts are deleted after 7 days.
- Blog reading progress: which AIMS blog posts you've read and how far you got, so we can tick finished posts and take you back to where you stopped. This is kept in your browser, and also in your AIMS account when you're signed in so it follows you to other devices. It's deleted with your account.
- AIMS emails: when you create an AIMS account (or sign in on our website and turn on AIMS emails), your email address, how you joined the list, the page you signed up from and your language (so the emails come in it). We send them about twice a week.
How we use it
To run AIMS's core features — logging, tracking your trends, calculating targets and generating personalised coaching; to process Premium payments; to provide support; for waitlist sign-ups, to tell you when the Android app is available; and to send AIMS emails (blog posts, product updates, AIMS news and offers) to people who created an account or turned on AIMS emails. Every email has an unsubscribe link, and you can also turn emails off by signing in on our website. We don't sell your data or share it with advertisers.
Service providers
- Supabase — database, authentication and file storage.
- Anthropic (Claude) — when you send a chat message or photo, that content and relevant profile context is sent to Anthropic's Claude AI to generate a response. This is required for AIMS's AI features to work.
- Google Sign-In — if you choose to sign in with Google.
- Bachs and Lemon Squeezy — payment processing for Premium bought on our website (US dollars). We receive your email, plan and subscription status, not your card details.
- Google Play — payment processing for Premium bought in the Android app. We receive a purchase reference and subscription status, not your card details.
- Netlify — website hosting.
These providers process data on our behalf and may store it outside Nigeria.
Retention
We keep your data while your account is active. You can delete individual entries at any time. When you delete your account, your profile, logs, chat history and the photos you've sent are deleted. Waitlist emails are kept until the Android app launches or until you ask us to remove yours. If you're on the AIMS emails list (because you created an account or turned them on), we keep your email on that list until you unsubscribe or delete your account.
Improving food estimates
When you fix a food entry (on the Edit screen or by telling the chat), AIMS saves what it first guessed and what you changed it to. AIMS also remembers your own corrected foods and portions so it can estimate them better for you next time. This is text only. If you switch on "Share corrected photos to improve AIMS" in Personal, AIMS also keeps a link to the photo behind a food you correct, so the AIMS team can improve how meals are recognised and estimated. We do not copy the photo or share it with anyone outside AIMS. The switch is off by default, turning it off removes the photo links already saved, and deleting your account removes all of this.
Sharing with a coach
If you connect to a fitness coach in AIMS (Personal → Connect to a coach) and tap Agree, your coach can see the food you log with its calories and protein, your weight entries, your calorie and protein targets and goal, and whether you're on Premium, including entries from before you connected. Your coach cannot see your chat messages or photos and cannot change your entries. When a coach asks the AIMS assistant about their clients, a short summary of the clients who shared with them is sent to Anthropic's Claude to answer. We record when you agreed and to which coach. You can leave your coach at any time from Personal → Coach, and access stops straight away. Coaches are independent of AIMS and are responsible for how they use what they see. If you are on Premium, your coach can also set your calorie, protein, carb and fat targets and your workout split (you can't change them while under that coach), and a feeding timetable, and recommend foods; your coach sees whether you tried a recommended food. Your coach also sees the allergies and food needs you add in Personal, so they never recommend foods you can't eat; you can turn this off in Personal → Allergies & food needs. Leaving the coach gives control back to you. You and your coach can send each other text messages, voice notes and photos in AIMS. Only the two of you can see them, and they stop being available to both of you once the coaching link ends; they are deleted when either account is deleted. We don't use them to train AI. If you report a coach or client, a copy of the last 50 messages of that chat (text, and links to its photos and voice notes) is saved with your report so the AIMS team can review it; reports are kept for up to 12 months, or longer if needed for safety or legal reasons.
Deleting your account
In AIMS, go to Personal → Account → Delete account. This permanently deletes your account and data and cancels any active Premium subscription. You can also request deletion at aimscoach.com/delete-account. Records of payments (amount, date and reference, no food or health data) are kept for up to 6 years where tax and accounting law requires it. You can also email support.aimshq@gmail.com from your account email and we'll delete it for you.
Your rights
You can access and export your data at any time (Personal → Export Data), and ask us to correct or delete it. For any privacy request, email support.aimshq@gmail.com.
Security
Access to your data is protected by authentication and row-level access controls, so only you can read your own entries. No system is perfectly secure, but we work to protect your information.
Children
AIMS is only for adults aged 18 and over. We don't knowingly collect data from anyone under 18; if you believe a child has an account, email support.aimshq@gmail.com and we'll delete it.
Changes
We may update this policy as AIMS evolves. We'll update the date at the top of this page when we do.
